Much of what you want to do has already been done on the internet. Before getting to work, I always suggest checking whether someone has already done something similar; we don’t need to reinvent the wheel.

Today we will see how to search for text templates online and how to edit them so they look the way you need.

Templates in Google Documents

Google Docs has a template gallery for editing online and speeding up everyday tasks. Distributed across different themes, the templates already come with design and base text, so the user only needs to adapt the content. In addition to making the final work more organized, the predefined items eliminate the need to create a file from scratch and help save time.

You can see the template gallery offered by Google here. There are templates ranging from resumes to letters, school assignments, etc.

Templates in Microsoft Word

Since Microsoft Word is not an online tool, it does not have a template gallery within the application itself. To see the gallery provided by the developers, we have to visit the official website.

There is an advanced search there that lets you search by document type, which includes:

As you can see, Microsoft Word’s gallery is much more complete than Google’s. Choose the document and download it so you can use it.

Templates in LibreOffice

LibreOffice competes directly with Microsoft Word and, because of this, has a similar website. Here you can see several templates for LibreOffice. Remember that Microsoft Word and LibreOffice files are usually compatible with each other, so it is worth looking in both places.

Templates on the internet

We all want to deliver beautiful documents, so it is very normal to expect the internet to offer you beautiful Word templates. Many websites specialize in templates for Word. These templates are usually very beautiful (let’s disregard the fact that beauty is relative), mainly because they are made by professional designers!

Because professional designers are the authors of these templates, some are paid. Others are free, but require a license to be used commercially (by a company in official documents).

Review mode and working as a team

After choosing a template, you will probably want to modify it to fit your reality. At those times, we recommend changing the viewing mode to "suggestion mode".

There are generally 3 viewing modes in a text editor:

- Editing mode: this is the "normal" mode, where you can modify the file as you wish.

- Suggestion mode: you view the file as if you were in editing mode, but any change you make will be shown differently. The old text will have a line through it, indicating that it was cut from the text, and the new text will have a different color. These suggestions can be accepted or rejected later, with comments appearing on the side to accept them.

- Viewing mode: this is a mode in which editing is not allowed, only viewing the text.

Suggestion mode allows you to change the text while keeping what was changed crossed out beside it. This mode is very important when we work as a team, where the whole team can later judge whether the changes were correct or not.

When we want changes that have not been made, we usually insert comments within the text. Comments can be added by clicking the "Insert" tab and then "Insert comment".

With several people helping you after you choose the template, you will be able to accept or reject suggestions and also discuss sections of your text until everyone reaches a satisfactory conclusion.
